How to price a fixed-scope project

Fixed-price work is where freelancers lose the most money. A flat quote feels simple for the client, but if your estimate is too low you absorb every extra hour yourself. The fix is to build the price up from your time, not down from a number that “sounds fair.”

  1. Estimate the hours the project will realistically take.
  2. Multiply by your true hourly rate, not a discounted one.
  3. Add direct expenses such as assets, licenses, or subcontractors.
  4. Add a risk buffer (commonly 15–30%) for scope creep and revisions.

The calculator above turns these inputs into a defensible quote. Not sure what rate to plug in? Work it out first with the true hourly rate calculator, and see our invoicing best practices for getting that quote paid on time.

Frequently asked questions

How do I price a fixed-price project?

Build the price up from your time: estimate the hours the work will realistically take, multiply by your true hourly rate, add direct expenses, then add a risk buffer for scope creep and revisions. Don't start from a number that just "sounds fair."

How big should the risk buffer be?

15–30% is common. Use the higher end for vague scope, new clients, or projects with lots of revision rounds, and the lower end for well-defined work you have done many times before.

Fixed price or hourly — which protects me more?

Hourly protects you when scope is uncertain because every extra hour is paid; a fixed price rewards you when the scope is clear and you work efficiently. In both cases, price from your hourly rate so you never quote below your floor.

Is this calculator free and private?
