Assigning a customer to a project
Link a customer to a project with the Assign Customer button so you can generate invoices, and learn how to change or remove the link.
Last updated
Each project can be linked to exactly one customer. This link is required for billing: the Generate Invoice button stays disabled until a customer is assigned (TimeBill shows the hint Assign a customer first). The assigned customer's details are also what fills the client block on invoices and the The Client: block on timesheet PDFs.
Assigning a customer
- Select the project in the sidebar to open its detail view.
- Click Assign Customer in the project footer. Once a customer is assigned, this button shows the customer's name instead.
- In the picker popover, type in Search customers to filter the list. The search matches name, contact person, email, phone, address, and additional info. If nothing matches, you'll see No customers found.
- Click a customer to assign it. Back in the project footer, the button now shows that customer's name.
If the customer doesn't exist yet, click Manage Customers at the bottom of the picker. It opens the Customer Management window, where you can add the customer and then assign it.
Changing or removing the assignment
- Change: click the footer button (now showing the customer's name) and pick a different customer.
- Remove: open the picker and click the currently assigned customer again; clicking the selected customer deselects it.
Un-assigning only clears the link on this one project; the customer record itself is untouched.
What the link does at invoice time
When you generate an invoice, the assigned customer's name, composed postal address, email, phone, and additional info are copied into the invoice's client fields. Archived invoices store the client name as a snapshot, so later edits to the customer don't rewrite invoices you already issued.
Things to watch out for
- One customer per project. There's no way to bill a single project to multiple clients. Create a separate project per client instead.
- Deleting a customer un-assigns it everywhere. If a customer is deleted in Customer Management, every project that referenced it loses its assignment and invoicing for those projects is blocked again until you assign a new customer.
- A customer alone isn't enough to invoice. Invoice generation also requires your own company profile to be filled in. Without it, you'll see Set up your company details first. See setting up your company details.
If the Generate Invoice button is still greyed out after assigning a customer, work through the Generate Invoice button is disabled.
